CREW MANAGEMENT Module
”Crew Management” Solution facilitates the automatic uploading of crew members API-Advanced Passport Information- to a flight in the most efficient way. The solution is integrated by:
Crew Management Module,enabling the management of crew data.
PC or Control Panel, enables the crew upload to a flight and,
PCREW or Crew Panel, allowing to view the basic information from crew members uploaded and active on the Crew Management Template (Duty 5 password and a especial keyword are mandatory).

1. CREW MANAGEMENT MODULE
It is available from Kiu CLICK “Settings “tab. Once on the “Setup” screen, select Kiu DCS and then, “ CREW Management” and “CREW Management again to access the “CREW LIST” which is divided in two parts. The top part of the screen contains all the filters for searching crew members by
“License Expiration Date”. Displays all licenses expiring before and up to the date shown in the filter.
“Crew Employment Level”, providing up to 15 levels or company employment categories.
“Crew Member Roles” (captain, f/o, purser or cabin crew)
“Travel Document Expiration Date” displays all travel documents expiring before and up to the date shown in the filter.
Following tabs are also available:
Export, enabling the export of data to a CSV, XLS and PDF file.
History, allows viewing the history of 5, 10 or 25 crew members per page and sorted by:
Date
ID number or Identification number (Maximum 10 digits)
Actions, showing add, update or delete data from a crew member registry besides History, which shows the agent who performed the action, the date and GMT time when the action was performed.
Clear, enabling filters to clear out.
Search, this tab allows to search crew information by any of the filters available.
A scroll bar is available at the right hand side of the screen for an easy navigation.
Placing the mouse on a label shows the meaning of that label.

Selecting the tab “Back to menu” returns to the “Setup” screen.
At the bottom part of the screen, there are two new tabs. The first one is “options” , filtering the desired information to view. The second one, “Add”, for adding a new crew member information to the module.
Four icons at the right hand side of each registry represent the actions that can be taken, updating data, deleting data once the registry has been placed as inactive, view data for the selected registry

and view history data for the chosen registry.
The “Add” tab enables adding information for a new crew member in the “Add New Crew Member” screen, which contains several drop-down menus. The first one is for uploading the basic crew member information. The blue button on the first image below, must be placed as active in order to save uploaded data. It is always active when adding information for a new crew member or updating information.

There is only one case when this button must be placed as inactive, that is before deleting a full registry.

Attempting to delete a full registry while it is active will cause the display of an error.

The “Travel Document Information”drop-down menu is for adding the travel document, the number, expiration date, date and place of issuance together with country of issuance. It is mandatory for APIS to complete all the information requested on this drop-down menu. Example below:

“Home address” is for adding all the information related to the place of residence.

“Current address” must be completed when different from “home address”.

No residual information should appear on any window in the optional drop-down menus not completed in order to save the registry. Leaving the country name in current “country” for example as on image below, causes an error display pop up message in red.

Once mandatory information has been completed and no residual data left has been verified in optional drop-down menus, clicking on the save tab causes a pop up message in green indicating that the saving transaction has been successful so the information entered has been fully saved. See example below:

Only a Duty 5 v.1 with keyword CHKCRW password can access, add, delete and update crew member information on “Crew Managment Module”. A Duty 5 v.1 password with keyword CHKCWV is also mandatory to access and view crew information uploaded on “Crew Management Module”.

2. PC OR CONTROL PANEL TO UPLOAD CREW ON A FLIGHT.
Once the mandatory crew member information data for APIS-Advanced Passport Information System- has been uploaded on the “Crew Mangement Template”, the next step is uploading the crew members on the flight using following input:

Several combinations are available to upload crew to a flight requiring the generation of an API message. Crew can be uploaded by:
Their Internal ID number (often corresponding to their internal airline company number but it could also be any number assigned by the airline and loaded on Crew Management Template.

Deleting a crew member uploaded on the flight must be individually done using the following input and also the number of position or item shown in the PC screen, under “crew” . Internal ID number is not to be used for deletion:

The uploaded crew members are not shown in passenger counters and neither on PFS (Passenger Final Sales) because they do not have a PNR in the Reservations System. They appear as crew in both PC and PW or Traffic Manifest.
A crew member occupying a passenger seat although not booked in the flight is named as Extra Crew or EXC. Extra Crew members who are loaded and active on the Crew Management Template or Module can be uploaded on a flight same as Crew. Following entries to be used:
